Removing Leaders

When someone leaves a leadership role (especially a departing employee), there are several steps to ensure the security of our systems while continuing to provide them with the access they should have as a member of the church or community. Some access will be updated overnight automatically, but the list below details the pieces that need to be reviewed manually.

Remove from Involvements Where Appropriate

Review all of the involvements this person is currently enrolled in, and remove any where they no longer belong. In many cases, you may need to assign the new leader who will take their place.

Change Email Notifications

Especially for staff, involvements with registrations may have had email messages coming to or from them. Finding the involvements where this needs to change can be tricky. The SQL below can help find them. Replace "123" with the person's PeopleId in both spots.

SELECT TOP 100 OrganizationId, NotifyIds, RegMessageConfirmationEmailFrom FROM Organizations WHERE ',' + NotifyIds + ',' LIKE '%,123,%' OR RegMessageConfirmationEmailFrom = 123;

Change Access Roles if needed

Although many roles update automatically, some more unusual roles (finance, global, etc.) are assigned manually on a per-person basis.

Change Email Address if staff

Once the above is complete, edit the person's profile to remove any tenth.org email addresses and insert their personal address. An individual will keep their profile, even if they no longer serve on staff.
